Security Considerations in Business Event Management

Most major corporations are going to schedule a business event one or more times during any given year.  These events can include Shareholder Meetings, National Sales Meetings, Corporate employee events such as picnic or holiday parties or the Grand Opening of a new facility.  All of these are carefully planned for by the responsible corporate entities but quite often security is not included in the overall plan.  Excluding security from the planning process exposes the corporation to potential liability from any resulting catastrophe. To mitigate this exposure a comprehensive security event management plan is essential and must include the following components, pre-event planning, and integration of security systems, communication, and executive and dignitary protection.

Planning sets the stage for a successful corporate event and just as every key stakeholder has input into this event, so should security.  Not matter what the event there will always be risks involved and by planning for these risks they can be minimized.  For instance, pre-event intelligence from security may reveal that disgruntled employees are intending to sabotage a company sponsored holiday party.  Knowing this and addressing it at the pre-event planning stage equips everyone with the means to deal with the problem.  Also, specific issues such as bomb threats, traffic control, crowd control and parking all have to be covered and strategies developed.  Problems are identified, tasks are assigned and responsibilities are delegated in this phase.
All security systems, including human and technical assets, must be integrated.  This means that security personnel will closely interface with security technology such at CCTV, access control devices (e.g., gates and doors), traffic control devices and alarm systems.  This permits security to control the flow of people and vehicle traffic into the event venue.  Guest credentials are necessary so that there is a clear visual recognition of where guests are permitted to be.  These credentials can be colored coded to correspond with the areas where certain guests are permitted.  In some larger more publicized events, media people have to be identified and sanctioned by the company and then media credentials must be worn and unambiguous rules concerning media behavior have to be announced.

Secure communication will be established between the corporate stakeholders and security.  The most efficient method is quality radio communications with hand held devices that can only be heard by selected people.  Agreed upon courses of action in the event of a problem can be initiated quickly, inconspicuously and seamlessly to prevent any interruption of the event or cause any alarm or distress to the attendees.  In a recent corporate event involving the Grand Opening of a new facility, a bomb threat was called in right in the middle of the event.  Security contacted the corporate stakeholders via a secure radio communication network and a silent search was conducted.  No device was found and none of the attendees were aware of any problems and the event successfully continued without interruption.

Depending on the event and the corporation, executives, celebrities or dignitaries may be invited.   These individuals will need special attention by security and this requires pre-planning with corporate organizers.  Important issues such as who will have access to the dignitary, securing public speaking areas and any special needs of the dignitary (e.g., transportation to the event).  In addition, intelligence reports have to be reviewed to determine if there have been any threats made and the nature and response by security to these threats.   In many cases security may be interacting with law enforcement security details for government officials.  Arrival and departure times, location of hospitals, specific itineraries, identification of accompanying entourages and existence of any threat levels all have to be considered and accounted for by security.

Corporate events are opportunities for companies to showcase their products, people and facilities.  They can be effective marketing tools as well as morale enhancers for a company.  Proper planning that involves a comprehensive security approach insures that the event will be successful.
